When a new Vacancy is Approved, or Rejected, or when Appointments/Interviews have been made with an Applicant, these notes should appear on the Timeline, so the TA has a quick guide on what has happened in the process so far.
If you click on the + sign next to the Timeline you can also use the usual Dynamics 365 functions: -
Appointment
This could be used if the TA needed to book an appointment to speak with the Hiring Manager about the Vacancy. This will automatically set up an Appointment up in the Outlook Calendars for the Required and Optional Attendees and record the Appointment on the Timeline.
Interviews within Hotlist are dealt with via the Hiring Manager and the Applicant Update process. They suggest days when they are free to interview, and AI will help work out when the Interviewer(s) are free to interview the Applicant.
You can insert email templates and add attachments. This will automatically send an email in Outlook to the relevant recipients and record the email on the Timeline.
Phone Call
Insert details of any phone call with the Hiring Manager about the Vacancy and add any useful comments of the conversation in the descriptions field.
You get the option to keep this Active or you can Mark as Complete on the Timeline, depending if there is any further action to take.
Task
Add any Tasks that you have set yourself. For example, if you have spoken to the Hiring Manager, and you have set yourself a task to chase the Hiring Manager on a particular question they have asked you.
