Views:

The Timeline will be located on the general tab for the Applicants and Vacancies, and the summary tab for a Contact.

Sending an Appointment

Go to Timeline > + button > Appointment

 

The Quick Create: Appointment side panel will open.

Owner will be prepopulated; this can be amended if the appointment is being arranged for another User – this is a mandatory field.

Insert the Required and Optional Attendees.

Insert a Subject – this is a mandatory field.

Insert a Location or select if it is a Teams Meeting

 

Select the Start and End Times of the appointments – these are mandatory fields.

Changing the duration of the meeting will automatically adjust the end time

 

Insert a Description of the Appointment.

In the Regarding field you will see:-

O   The Applicant information if the Appointment was created from the Applicant Timeline

O   The Vacancy information if the Appointment was created from the Vacancy Timeline

O   The Contact information if the Appointment was created from the Contact Timeline

 

You can add a Priority for the Appointment if you wish.

 

Appointment Information

Appointments will be sent out immediately and sync with Outlook and Teams.

The Required and Optional Attendees will receive an invite to the Appointment.

Please note. The Appointment will only be sent out if the user has enabled Emails/Appointments to be sent via Hotlist.

 

Appointments can be seen directly within the Timeline.

 

You have the options to Assign to another user, Complete, Add to queue, Open Record and Delete the Appointment.

If you Open the Record, from here you can make amendments to the Appointment. Any changes to the Appointment will trigger an email to the person(s) in the Required field.

Activities

You can also find your Appointments in the Activities menu.

Use the filter to sort by Activity Type > Appointment.

You can then see the Appointment you created in the list.
