You should be able to send an email from the Timeline in Hotlist Recruiter, also appointments should automatically go to the Hiring Manager, another other interviewers and the Applicant, when the TA has confirmed the date and time within he Applicant Update in Hotlist Recruiter.

 

If emails are not being sent through to the Applicant or Hiring Manager through Hotlist, it may have something to so with the configurations settings. If you go into Activities and filer by Email or Appointment – if there are activities in there that say they are Completed, they might not be! Open the Activity and check the Status Reason to see if it says Pending Send or Scheduled.

 

If this is the case – the User may not have their email configured correctly.

 

Configure Email

Click on Settings (the Cog) and select Advanced Settings

Click on Email Configuration in the Sidebar and then select Mailboxes

 

Click on the relevant user (in this example it is the Talent Acquisition)

 

It will open the settings for the user – In the Synchronization Method, the Appointments, Contacts and Tasks will probably be set to None

 

Click on the drop down and change it to Server-Side Synchronization and click Save

 

Click on Test & Enable Mailbox

 

Once the process has run within Configuration Test Results, the Appointments, Contacts, and Tasks Status should change to Success (it may take a while) – click F5 a few times until the Mailbox Test Completed On is updated

 

And then any emails that were set to Pending will now be sent through but ONLY if the relevant user (TA in this example) is the owner of the Activity
