If you are creating a new Temporary / Permanent / Contract Vacancy follow the process in Create a Vacancy first and then follow the process below.

 

Once you click Create Vacancy a pop up box will appear so you can chose the type of Vacancy you wish to create - Temporary, Permanent, or Contract.

 

Once you chosen a type the Create button will become active.

 

Click Create

 

When the Vacancy appears there are two types of boxes -

The Sky Blue fields with no boarders are fixed fields and can not be changed

The light fields with a boarder, are fields that can be, or must be changed

 

If they have a red Asterix next to the field, the Hiring Manager MUST insert info in this field.

 

 

The Hiring Manager MUST:-

Make sure there is a Description and an Advert

Insert a Pay Range for the Vacancy

 

The Hiring Manager can:-

o  Amend the Name

o  Select the TA or TA team who the Vacancy will be assigned to

o  Insert the Office Location

o  Select the Currency

o  Amend Number of Positions (if needed)

o  Change the Start Date

o  Amend the Description and Adverts

Adverts and Applicants

Adverts Tab

This is where you can insert / amend the Advert for the Vacancy, a Summary of the Vacancy that can be posted on Job Boards and an Internal Advert for the Vacancy.

Applicants

Applicants will start to appear once the TA submits CV’s relating to this Vacancy.

Approvers

This will show who the Approvers are for the Vacancy

 

If you are happy with the information, you can click Request Approval and the approval will be sent to the relevant person (the administrator will have set this up previously) (link to creating Approvers)

 

However, if you do not wish to send for Approval just yet – Click Save & Close

Close

Creates the Vacancy - but the HM will lose any changes they have made - then return to the Vacancies Tab

Save

Saves any amendments the Hiring Manager has made

Save & Close

Saves any amendments the Hiring Manager has made and then return to the Vacancies Tab - Status Reason will stay as Created

Request Approval

Saves any amendments the Hiring Manager has made and send a request to the Approver - Status Reason will change to Pending Approval

 

Finalising the Vacancy

The Vacancy will have been created in the Vacancies section of the Vacancies tab – with the Vacancy Status of Created.

 

To make any necessary amendments, or to Request Approval you can click on the Vacancy or Click View.

Approval Process

Save changes and then click on Request Approval

 

Approval will be sent by Teams to the Approval Group Members after the request is made.

 

Click Close

 

The Vacancy will now have a Vacancy Status of Pending Approval.
