To ensure the teams chats can be linked to records, and Teams Chats can be had about Applicants and Vacancies directly in the model driven app the following steps need to occur.
To complete this task the User must be a System Administrator.
A Global Administrator can log in and elevate their account to System Administrator.
The Admin will need to open up PowerPlatform
Select the Environment
On the command bar at the top, select Membership
Depending on the size of the screen – you may need to click on the 3 dots to see the rest of the options in the command bar.
Click on “Add Me”
Enabling Teams Chat
Within Environments in PowerPlatform
Select the option box next to the Environment you wish to enable
Click on Settings in the command bar at the top
Click on the dropdown arrown for Integration → Teams Integration Settings
Please select the following options on the Screen:-
Turn on the linking of Dynamics 365 records to Microsoft Teams channels
Let people in your org connect records and views to Teams channels, and let them open records in Teams during meetings. → select toggle to No
If the previous option is No, the following two options should automatically be No and greyed out.
Turn on Enhanced Microsoft Teams Integration → No
Turn on Confidential Labels → No
Turn on Microsoft Teams chats inside Dynamics 365
SELECT → Turn on for Selected Dynamics 365 Apps
Click inside the box below and select ‘Hotlist ATS’.
Show Teams chats on the connected record's timeline (Preview)
Sync Teams chat data with Dynamics 365 records. This will allow chat activity to show up on the timeline. → Turn toggle to Yes
Connect Teams chats to Dynamics 365 records
Pick the Records you with to show the Chat for. In Hotlist’s case we would recommend adding ‘Applicant' & 'Vacancy’
Click + Add record types and search for Applicant or Vacancy and set the following Settings
Settings - Allow chats to be connected to this record type
Connecting Chats
Join chat - Anyone with write or append access to a record can join. → ‘On’
Automatically name chats - Use the record title to name connected chats. When off, the chat participants' first names will be used as the chat name. → ‘On’
Disconnecting Chats
Record owner can disconnect chats → ‘Off’
Chat connector can disconnect chat → ‘Off’
New Connected Chats
Include a note about the connected record - Chat participants who don't have read access to the record will be able to view some record information. → ‘Off’
Get notified of key updates
Get bot notifications - Chat participants who don't have read access to the record will be able to view some record information. → ‘On’
When you toggle this to on, a box will appear where you get to select up to 5 attributes. We would recommended the follow attributes: -
for Applicants select; Name, Applicant Status, Applicant Sub Status
for Vacancy select; Name
Suggest Contacts
‘Rules-based suggested contacts’ → ‘Off’
Click Save to Save the info for Connecting Teams Chat to that Dynamics 365 record.
If you wish to add another record type then follow then process again from Connect Teams chats to Dynamics 365 records above
If you do not wish to add any further record types - click Save
Update Hotlist
Before the Teams chats and channels integration icon appears in the Dynamics toolbar, the TA may need to Update Hotlist
