When a Hiring Manager has created the Vacancy, the Vacancy will appear in the Vacancies section of Hotlist ATS, in the All-Active Vacancies view.
If the Vacancy needs approval, once it is approved, the Vacancy Status/Status Reason will change from 1- Pending Approval to 2 – Requires Applicants.
If the Vacancy does not need approval, the Vacancy Status/Status Reason will change from 0- Created to 2 – Requires Applicants.
To view the Vacancies click on Vacancies in the sidebar.
Click into the relevant Vacancy.
Profile Information
You can see the following information within this section:-
The Vacancy Timeline will appear in the middle of the screen, as this will be the main focal point for the TA. Any Updates or Feedback relating to the Vacancy will appear in this Timeline (ie, approvals, interview arrangements etc).
On the right of the screen you will see the Vacancy Type, Currency, which Profile (the Job Description) the Vacancy is Based On and Preferred Start Date.
All of the above information will have been inserted when the Hiring Manager created the Vacancy.
The TA can now add in the Job Post URL - This is the URL of where you would like the applicants to apply to the Vacancy (ie, the companies job page or an apply here URL).
Public on LinkedIn
o No – Vacancy will not been seen on LinkedIn
o Yes – Vacancy will be visible on LinkedIn
LinkedIn Status, this can either be Not Set, Not Listed, Listed or Error
Applicants
This is where the TA can add Applicants to the Vacancy
Details
This tab shows the Job Description, the External Advert, the Job Summary for Job Boards and the Internal Advert
Vacancy Summary
TA will be able to see the date when the:-
o Vacancy was Created
o Vacancy was Approved
o First CV was Submitted to the Hiring Manager
o First Interview was arranged
o First Offer went out to an Applicant
o Applicant was placed (or First Applicant if there was more than one position for the Vacancy)
Notes
This is just a free text Notes Field, where the TA can insert any private notes regarding the Vacancy. These notes DO NOT pull through to the Hiring Manager.
