Introduction

The Hotlist CRM can have documents (e.g. CV’s etc) associated with records. SharePoint is a pre-requisite for completing the installation of the site. We would recommend creating a new SharePoint Site specifically for this purpose. The steps covered are as follows:

 

o   Create a new SharePoint Site

 

o   Connect SharePoint Site to the dynamics site

 

Pre-Requisites

Support Account must already be present for this to work 

 

Dynamics Site must be created 

Create SharePoint Site

o   Go to SharePoint home

 

o   Click + Create Site

 

o   Choose ‘Team Site’ - as its a private site

 

o   Choose ‘Standard Template’ (Unless customer has a preference)

 

o   Click ‘Use Template’

 

o   Site Name:

 

     o   Site Name - We would recommend site name should be ‘Hotlist-<Customer>’ - although it can be anything just ensure its not already being used 

 

     o    Site description → Hotlist SharePoint used to connect the documents to records 

 

     o    Keep note of Site Address for Environment Variables 

 

     E.g. https://<wearehotlist.sharepoint.com>/sites/<SiteName> 

 

     o   Click Next 

 

o   Private Setting should be – Private & English

 

o   Add Members: <Ensure Support Account Email is added here>

 

Connecting SharePoint Site

o   Navigate to power platform admin  

 

o   Click on environments 

 

o   Choose environment 

 

o   Click Hotlist Dynamics URL  - e.g. hotlist-<>.crm11.dynamics.com 

 

o   Click cog at top right of header → and Advanced Settings

 

Choose Document Management:

Configure server based SharePoint  

 

o   Location → Choose Online 

 

o   Connection  

 

o   Ensure the url has sites/<NameOfSite>/ at the end

o   → SharePoint URL e,g https://wearehotlist.sharepoint.com/sites/HotList/

o   Ensure the validation is correct

o   <At this point do not enable OneDrive for Business>

o   Click Finish

Next, choose Document Management settings which will link Contacts to SharePoint.

Doc Management Settings

o   Only select ‘contacts’ the easiest way is to select everything then de-select everything to make sure nothing else is clicked 

 

o   Then Find ‘Contacts' and select them 

 

o   Underneath, Paste in URL into the SharePoint Site: e.g. https://wearehotlist.sharepoint.com/sites/HotList/ 

 

o   Now click Next 

 

o   Check ‘Based on entity’ and choose ‘Contact’ from the dropdown 

 

o   Review the outcome for success 

 

o   Click Finish
